We understand that travel plans can change. This policy sets out the terms under which cancellations are accepted and refunds are processed for all programs booked with Green Earth Trails. We recommend that all guests purchase comprehensive travel insurance that includes trip cancellation cover before confirming a booking.
A booking is confirmed upon receipt of the deposit payment as specified in your program proposal. The deposit amount will be stated in your booking confirmation and is typically 25% of the total program cost. The remaining balance is due 30 days before the program start date unless otherwise agreed in writing.
All cancellation requests must be submitted in writing to hello@greenearthtrails.com. The following cancellation charges apply based on the number of days before the program start date on which the written cancellation is received:

Certain components of your program may be non-refundable regardless of the notice period given. These include but are not limited to: houseboat bookings during peak season (November to February), advance-purchased train or flight tickets, entry fees to national parks and wildlife reserves paid in advance, and any third-party bookings for which Green Earth Trails has already paid and cannot recover.
These non-refundable elements will be clearly identified in your program proposal prior to booking confirmation.
Refunds due under this policy will be processed within 14 working days of the cancellation being confirmed. Refunds will be made to the original payment method. Bank transfer charges or currency conversion losses incurred during the refund process are the responsibility of the guest.
In the rare event that Green Earth Trails is unable to operate your program due to circumstances within our control, you will receive a full refund of all amounts paid. We will make every reasonable effort to offer an alternative program of equivalent or greater value as a first option.
Green Earth Trails reserves the right to cancel or modify a program in circumstances beyond our reasonable control, including but not limited to: natural disasters, extreme weather events, civil unrest, government travel advisories, pandemic-related restrictions, or force majeure events. In such cases, we will offer alternative dates or a credit note. Refunds in force majeure situations will be assessed on a case-by-case basis depending on amounts already committed to suppliers.
Requests to modify confirmed bookings, including changes to dates, destinations, accommodation or group size, are subject to availability and may incur additional charges. Modifications requested within 30 days of departure may be treated as a cancellation and re-booking at the discretion of Green Earth Trails.
We strongly recommend that all guests purchase comprehensive travel insurance covering trip cancellation, medical expenses, emergency evacuation, and personal liability before confirming any booking with Green Earth Trails. We are not responsible for losses that could have been covered by travel insurance.
